At BAYADA Home Health Care, the caregivers are the heroes. And they couldn’t do it without their support system – including the marketing team helping with everything from caregiver recruitment to website development.

In this hero story, the worldwide shortage in nursing staff has become archenemy #1, making it more challenging for BAYADA to provide critical care and services to the people who need them. For the marketing team, this means a large portion of their workload involves recruitment marketing, running campaigns on Indeed, LinkedIn, and Facebook to continue supplying hospitals and treatment centers with qualified staff.

To succeed in this mission, BAYADA’s lineup of smart marketers, including Senior Manager of Digital Marketing, Marissa Donatone, understand that seamless operations and workload transparency are essential for servicing 325 offices across the globe.

Caregiving is a team sport

Since 1975, BAYADA Home Health Care has had a special purpose to help people have a safe home life with comfort, independence, and dignity.

As Marissa describes it, BAYADA’s team covers people “from pediatrics all the way to hospice. So at every stage in a person's life, we can take care of them at their home, instead of in the hospital. We do also have a couple of staffing offices too, where our home health care workers can staff a facility."

Their mission—to take care of millions of people worldwide—is no small feat. "We do that by having excellent clinicians, home health aides, direct care professionals, physical therapists, and OTs," Marissa said.

Marketing plays an important role in making sure BAYADA’s presence is felt in every corner of the globe. While Marissa’s team focuses mainly on North America, they act as an internal agency with local offices — what they call their clients – in different regions including Ireland, South Korea, New Zealand, and Germany. For these various internal clients, the team is producing video and photography projects, copy collateral, email marketing, social media, and their central web properties: bayada.com and all of the microsites associated with it.

“There's an entrepreneurial spirit at BAYADA, so all the offices have the ability to think of strategies and creativity on their own. And then they come to us to help execute their ideas,” she said.

One of their most recent projects was a new practice line for autism and ABA services. It existed in Hawaii previously, but BAYADA wanted to bring those services to the mainland offices, including their newest in New Jersey. To ensure a strong presence on bayada.com, the local managers came to Marissa and her marketing strategy team, who put together a mock-up of a website, including all copywriting. The disparate teams worked together from planning all the way to execution, where the internal client signed off on the final deliverables to confirm, "Yep, everything sounds good for us." From there, Marissa took it live to the website.

This is just one example of the kind of collaboration, quick thinking, and precise execution necessary to support BAYADA’s offices and get the right services to the people who need them.

How BAYADA has made Teamwork.com their command center for doing good

Six years ago, when Marissa had just started at BAYADA, she set off on a new quest: to find a project management and client operations platform that the marketing team could use to keep their work organized.

Even though there were only 12 people on her team at the time, they needed a way to be able to see all of their work in process at-a-glance. The platform they had been using, Trello, didn’t provide this kind of birds-eye view project managers needed to be able to tell where resources and projects overlapped.

Teamwork.com became the source of truth for everything, so all comments and messages associated with a task could live within the platform instead of emails going back and forth. That made it easy for Marissa and other managers to track where the conversation was and provide more transparency among the team.

Marissa also quickly discovered that Teamwork.com could alleviate some of the stress that their design team was experiencing when it came to taking and managing requests. With over 325 offices around the world to support, you can imagine how many requests might be made on any given day – juggling all of those tasks can be tricky, no matter how superhuman your design team is.

To solve this problem, Marissa and her team rely on the Workload Planner in Teamwork.com, to easily see when the design team is overloaded and whether too many one-off requests are coming in.

From there, BAYADA’s creative services office uses Teamwork.com’s time tracking functionality to estimate how long tasks will take. They can go in and track how long a Facebook graphic takes, for instance. When multiple requests have come in, project managers like Marissa can use the Workload Planner as the designers are tracking their time.

“That goes up to leadership, too. So we can say, ‘Here's how long things are taking for us with the resources that we currently have,'" she explained.

From templates to task lists, Marissa and the BAYADA marketing team are more organized than ever, which helps them cover more ground.

“If I didn't have the My Work tab, I would lose track of everything that I need to do because I can see across all projects, not just one," she said. "I can see what needs to get done for this project versus the next project.”
